Frequently asked questions
Find clear details about our pay-per-process pricing, document formats, delivery timelines, and what is required from you.
Will this take up too much of my valuable time?
Not at all. Our entire model is structured to minimise disruption to your day. Most business owners spend just 1 to 3 hours in total across the project: a 15–30 minute discovery call, 30–60 minutes sharing notes or walking through the steps, and 15–30 minutes reviewing draft files. We take care of all the process mapping, writing, and formatting.
Our processes aren't written down at all. Is that a problem?
No, that is exactly why most clients reach out to us. Whether your operations live in rough notes, bulleted emails, screenshots, or strictly in your head and your team's memory, we extract that knowledge and shape it into crystal-clear standard operating procedures.
What exactly counts as a single process?
A single process is one distinct workflow from start to finish. Examples include client onboarding, invoice processing, or handling customer complaints. In simple terms, if you can describe it as "how we complete this task from beginning to end", it counts as one process. Each delivered process includes a visual flowchart, a written procedure, clearly defined roles, and editable files.
What is the difference between a Simple and a Standard process?
A Simple process covers one workflow with up to 6 steps, drafted directly from your existing notes or draft documents without an interview. A Standard process covers up to 12 steps, and includes a dedicated 60-minute subject matter expert interview. Complex workflows involving multiple departments, approvals, or numerous process variations may be scoped as two Standard Processes.
What happens if our processes change in the future?
Your business evolves, and your documentation should adapt with it. Every completed process is delivered in both ready-to-use PDF format and fully editable Microsoft Word format so you can make updates whenever you like. We also offer minor update and major rewrite add-on services if you would prefer us to revise them for you.
How does the pay-per-process pricing and payment work?
You pay solely for the processes you need, with no open-ended retainers. Single Simple processes are $250 (+ GST), while Standard processes begin at $450 (+ GST) with discounted credit packs available (from 3 up to 50 processes). We invoice 50% upfront when your project begins and the remaining balance as each finished process is delivered. Unused pack credits remain valid for 12 months.
How many review rounds are included with each process?
Every process fee includes two thorough revision rounds. Once we supply your initial draft, you have 10 working days to consolidate feedback, after which we update the procedure and flowchart. This ensures every step accurately reflects how your team works before final sign-off.
What is workflow automation?
Workflow automation uses software to automatically move work through a business process without relying on manual emails, reminders, spreadsheets, or follow-ups.
For example, instead of someone emailing a manager for approval, manually notifying the next person, and tracking progress in a spreadsheet, a workflow automation platform can automatically:
- Assign tasks to the right people
- Route approvals
- Send notifications and reminders
- Track progress and deadlines
- Create audit trails and reports
The result is less manual administration, fewer errors, faster turnaround times, and more consistent execution of your business processes.
Simple example:
A new employee is hired → HR receives a task → IT receives a setup request → the manager receives onboarding tasks → progress is tracked automatically, without anyone having to send emails or reminders.
Can you help with automation?
Yes. We offer Automation Opportunity Reviews ($950 + GST) to identify which of your business processes are best suited for automation. We'll assess and prioritise your workflows based on effort, complexity, and potential time savings, then provide recommendations for the next steps.
